Once a file is uploaded, it will automatically be marked as 'Unpublished', this is represented with an 'X' icon and tracked via a colour coded status column.


Unpublished files and folders can only be seen by users within the "Data Room Administrators' group and user's that have been granted with 'Manage Documents' permissions.

Once you have applied the necessary security settings and are ready to disclose access to the data room users, you will need to publish the file or folder.


There are four ways you can publish a file or folder:


METHOD 1

  • Navigate to the Documents portal (first icon located in the ribbon)
  • Tick the checkbox corresponding to the unpublished file or folder
  • Click on the Actions button and select Publish
  • You will be presented with a confirmation box. Click on the Yes button to proceed with the action


METHOD 2

  • Navigate to the Documents portal (first icon located in the ribbon)
  • Click on the Document Administration button (located next to the Actions button)
  • The Document Administration screen will appear. Click on the Unpublished Documents tab
  • You will be presented with a list of every file and folder which is currently unpublished, tick the corresponding file or folder and then click on the Publish button
  • You will presented with a confirmation box. Click on the Yes button to proceed with the action
  • Click on the X button (located in the top right hand corner of the box) to exit


METHOD 3

  • Navigate to the Documents portal (first icon located in the ribbon)
  • Right click on the file or folder you would like to publish and click the Publish button from the drop down list


METHOD 4

  • Navigate to the Documents portal (first icon located in the ribbon)
  • Click on the Actions button and select Publish All
  • You will presented with a confirmation box. Click on the Yes button to proceed with the action
